Rideon is a bike retailer with three stores across Canada. They needed to reconcile their 10+ accounts but maintain separate payrolls between the store locations as well as between departments (staff and managers).
When Rideon approached Legacy Advantage, they were a multi-million-dollar business but were struggling to grow further due to poor accounting. Though their stores were all under the same entity, each had a separate bank account and credit card as well as loans and mortgages.
Their bookkeeper worked manually on paper, leaving their internal systems so underdeveloped that if the bookkeeper took vacation or was ill, the managers struggled to do the payroll. Financials were always a few months late and usually incorrect, and they were experiencing cashflow problems.
Drawing on our expertise as QuickBooks ProAdvisors, we used QuickBooks Online to automate most of Rideon’s bookkeeping entries. We used Plooto to automate EFTs and were able to pull transaction data directly from POS reports, significantly reducing the need for data entry.
Using PayWorks, we automated the whole payroll process—employees now get direct deposits, source deductions are automatically remitted, and T4s and ROEs are automatically generated.
We worked with the client to streamline and then digitize their financial documents, which now enables us to process everything remotely through our Surrey office. The system and procedures that our CPA-level bookkeeping team established ensure that monthly statements, payroll and financial reports are delivered accurately and on time. And we did all of this for a price similar to what they were paying their previous bookkeeper.
